Gala and Fundraiser Production

Last updated

MOMENTOUS produces galas and fundraisers for nonprofits, museums, colleges and health centers in Palm Springs and across the Coachella Valley, and for clients as far away as San Francisco. We design and run the whole evening: strategy, décor, entertainment, technical production, run of show and the giving moment, often for the same client year after year.

What does a gala production company do that a venue or caterer does not?

A venue provides the room and a caterer provides the meal. A production company is responsible for the evening as a whole: what guests see and hear, the order of the program, and how the night builds toward the ask. MOMENTOUS designs and produces those pieces under one roof.

For The Living Desert Zoobilee 2026, the scope listed in the case study covered:

  • Brand identity and collateral design
  • Advanced site logistics and infrastructure planning
  • Environmental and décor design
  • Entertainment programming
  • Pre-production and content development
  • Advanced technical production
  • Run of show development and show direction
  • Event management, staffing and parking coordination

The same pattern runs through our other galas. At the Palm Springs Air Museum Gala 2026, it meant a multi-hangar evening for nearly 1,000 guests, from a cocktail reception and the reveal of the Vietnam Wall Memorial to the unveiling of an aircraft, a seated dinner and an awards show.

How far ahead should a nonprofit start planning a gala?

As general guidance, a year out is a comfortable start for a large annual gala, and many organizations begin planning next year's event soon after this year's ends. The date and venue come first, because they set everything else. Smaller events can move faster, but the program, talent and sponsorship work all need room.

A typical gala planning sequence looks like this:

Time before the galaFocus
12 monthsGoals, budget, date and venue
9 to 10 monthsTheme, creative direction, sponsorship plan
6 to 8 monthsEntertainment and talent, décor design, renderings
4 to 5 monthsInvitations, marketing, auction and honoree planning
2 to 3 monthsContent and video, floor plans, technical design
4 to 6 weeksRun of show, scripts, guest count, seating
Show weekLoad-in, rehearsals, final cues
After the eventReconciliation and recap

This mirrors the five steps MOMENTOUS follows on every event: discovery and strategy, design and creative, pre-production, show day, and wrap and report.

How do you design the program so the room gives?

The ask has to be the high point of the night, not one more item on the schedule. That means short speeches, clean transitions, and a room that is still focused when the moment arrives. Lighting, video, music and pacing are all set to support it.

Staging the giving moment

As general guidance:

  • Pacing. The run of show protects the room's energy before the ask. Long remarks and slow stage changes come out.
  • Video. A short film or tribute tells guests what their gift will do. At Art Party 2026 for Palm Springs Art Museum, video tributes from Bernadette Peters, P!NK and Cher anchored the program before Carol Burnett presented the award to Bob Mackie.
  • Lighting and sound. The room narrows to the stage when the ask begins, then opens back up as the energy builds.
  • Format. A live auction, a paddle raise or a pledge moment each need different staging. Stepping Out For COD 2026 raised money through live and silent auctions. At Art Party 2025, a live art auction ran in the museum theater, with the silent auction hosted online.
  • Honorees and awards. Recognition moments are scripted and timed so each one lands and the night keeps moving, as at A Night To Remember 2026, which paired an awards show with a live auction.

Can you help with sponsorship and fundraising strategy, or only the production?

Both. Our case studies list fundraising advisory, sponsorship development, and live and silent auction advisory alongside the production work.

For College of the Desert Foundation, this meant reshaping a traditional concert into a gala. Stepping Out For COD 2025 welcomed over 350 guests in the ballroom at Agua Caliente Casino Rancho Mirage, with awards and live and silent auctions.

What does it cost, and how are fees structured?

Cost depends on scope, guest count, venue, entertainment and how much of the work you want us to carry. MOMENTOUS scopes each gala after an initial conversation about your goals and budget. Financial management and budget oversight are part of the service, and every event closes with a reconciliation.

Can you produce the same gala every year without it feeling the same?

Yes. Each year starts with a new theme, a new story and new entertainment, while the parts that work for the organization stay in place.

MOMENTOUS has produced Zoobilee for The Living Desert since 2016. The themes have included On Safari in 2016, Cheetah Nights in 2017, a Silver Safari with a custom production of The Lion King for the 25th anniversary in 2019, Wild Times in 2022, Wild About You in 2023, Wildest Dreams in 2024, Wild At Heart in 2025 and Blooming in the Desert in 2026.

The Desert Symphony gala has brought a new headliner to each published edition: Marie Osmond in 2022, Jon Secada in 2023, Daniel Emmet and Pia Toscano in 2024, and Bernadette Peters in 2026. At the Palm Springs Air Museum, each gala builds to a new reveal, such as the stealth fighter jet at the 2024 Top Secret Gala.
